The Needs Assessment
A critical component of The ChatC Group vendor selection process is the ‘needs assessment’. This complimentary thirty-minute meeting is where we start our collaboration with clients to understand the business problem and their vision for how emerging technology may help. We’ll learn more about your functional and non-functional requirements and KPI’s. This meeting enables The ChatC Group to complete a preliminary high-level vendor review to determine potential fit for the business problem.
Define and Refine
Next, we encourage clients to participate in a ChatC Group half-day consultation workshop led by a senior leader of an emerging technology company with subject matter and technical expertise in implementing the proposed emerging technology solution. During the session use cases will be reviewed to ensure the emerging technology requirements align to the business problem.
By the end of the session, business and technology requirements are defined and documented. This process supports two important functions: validation that the emerging technology solution proposed is the right fit for the business problem, and clear scope definition to refine the proposal and budget.
The ChatC Group consultation workshop is platform agnostic. This is an important factor that allows our clients to identify unbiased options. The output of this collaborative session leads to a well-defined proposal with a refined budget.
The ChatC Group invests significant time in developing and updating emerging technology vendor profiles so that we can rapidly match vendors to implementations. In fact, vendor assessment is one of our core pillars and a key differentiator that enables The ChatC Group to accelerate the vendor selection process resulting in up to 70% faster vendor selection and onboarding. And once an emerging technology vendor joins our roster, we continuously monitor their performance resulting in a current database of qualified implementation vendor candidates.
With the needs assessment complete, we review requirements against our vendor profiles to present the best candidate for the opportunity. Clients will quickly receive a complete proposal with an accompanying comprehensive vendor profile that includes:
- Vendor executive summary
- Proposed technology solution with costs
- Vendor’s top 3 use case implementations summary
- A comprehensive vendor due diligence report including:
- An RFP response summary with weighted criteria
- A quarterly assessment report
- Client references
- Complete Security Assessment of the vendor (we follow ISO27001 standards)
- Standardized legal documentation including NDA’s, SLA’s, License and Hosting Agreements, (SaaS SLA if the project requires)

Legal Oversight and Proposal Acceptance
Once a proposal has been accepted, our suite of legal consultation services can be employed to facilitate negotiations and contracting. The ChatC Group’s end-to-end solutions expedite contracting, saving legal departments valuable time and accelerating project kick-off. We’ve already implemented numerous emerging technology projects and worked with our vendors to ensure their contracts meet legal, SLA and insurance standards.
We know that procurement of a new emerging technology vendor, and their associated vetting and validation, are critical to ensuring due diligence is satisfied. The ChatC Group ensures our clients and vendors have what they need to efficiently complete contracting. Our legal and account management teams can support and expedite negotiations and contracting with contract reviews and negotiation calls.
